1. Before You Start
Keep your company domain login ready. You need access to DNS settings at your domain provider, a company admin email, a mobile number, billing address, and the list of mailboxes you want to create such as founder@, sales@, support@, billing@, and info@.
2. Create Company Workspace
Open registration, enter company name, admin email, mobile number, website, address, password, and accept terms. After signup, the company admin is redirected to the dashboard where domains, mailboxes, aliases, usage, billing, and audit logs are managed.
3. Add and Verify Domain
Go to Domains, add your business domain, then publish the DNS records shown in the portal. Domain email normally requires verification records plus mail records such as MX, SPF, DKIM, and DMARC. Do not change values manually unless your mail administrator confirms the change.
4. DNS Record Guide
MX records route incoming mail. SPF authorizes sending servers. DKIM signs mail so receivers can verify it. DMARC tells receivers how to handle failed SPF/DKIM checks. Verification TXT or CNAME records prove domain ownership. DNS changes can take time depending on TTL and provider caching.
5. Create Mailboxes
After domain verification, go to Mailboxes and create users with full name, local part, password, and storage quota. Example: full name "Info Team", local part "info", email "info@yourdomain.com". Mailbox users are created by company admins and then sign in from the login page with User selected.
6. Aliases and Role Addresses
Aliases forward mail from one address to another. Use aliases for role-based identities such as contact@, careers@, billing@, support@, or sales@ when a separate mailbox is not required. Keep critical addresses assigned to active users or shared team mailboxes.
7. Webmail Guide
Mailbox users can sign in as User, open Inbox, search messages, open mail, use reply/reply-all/forward, view attachments, download files, and use folders. Inbox count shows total messages, while folder badges can show unread counts. Opened messages are marked read.
8. Compose and Attachments
Use Compose to send from your mailbox. To, Cc, and Bcc support multiple recipients. Press Enter, comma, or Tab to create recipient chips. Attach files using the attachment icon, review selected files, remove unwanted attachments, then send.
9. AI Features
NMail AI includes AI Reply, Smart Compose, Smart Categories, AI Summary, Priority Inbox, AI Translation, Follow-up Assistant, Email Extraction, Spam and Phishing Detection, Meeting and Task Detection, and Sentiment and Intent Detection. AI output should be reviewed before sending or acting on it.
10. IMAP Settings
Use these incoming mail settings when connecting external email clients such as Apple Mail, Outlook, Thunderbird, or mobile mail apps. IMAP keeps messages synchronized between the server, webmail, and all connected devices.

11. SMTP Settings
Use these outgoing mail settings for sending from external email clients. Authenticated SMTP uses the same full mailbox email address and mailbox password.

12. Recommended Client Setup Steps
Choose Add Mail Account in your email client. Enter name, full email address, and password. If automatic setup fails, choose manual setup. For incoming mail, use mail.neuratac.com on port 993 with SSL/TLS. For outgoing mail, use mail.neuratac.com on port 587 with STARTTLS. Send a test email to yourself and confirm it appears in both the client and webmail.
13. Security Checklist
Use strong mailbox passwords, deactivate unused accounts, review mailbox users regularly, keep DNS records unchanged after verification, watch audit logs, avoid sharing admin credentials, and report suspicious mail. Admins should deactivate or delete users who leave the company.
14. Billing and Invoices
Billing shows active accounts, plan price, GST, discounts, overdue balances, and invoice totals. Invoices are generated monthly. Payment is expected by the invoice due date. Refund, cancellation, overdue, and GST rules are included in Terms & Conditions.
15. Troubleshooting
If login fails, confirm the correct Admin/User option and password. If mail does not arrive, check domain verification, MX records, DNS propagation, mailbox status, and spam folder. If sending fails, check the outgoing server mail.neuratac.com, port 587, STARTTLS, username, password, and account active status.
